About the Georgia Tech Lock Shop

The campus Lock Shop manages physical keys for all buildings on campus and is located on the ground floor of the O'Keefe Building.

NOTICE:

Beginning Mon., Nov. 9 - Affiliate status will be required for issuance of physical keys. The Infrastructure and Operations (I&O) Lock Shop will verify that a physical key recipient has an active affiliate status prior to distributing keys. Until that time, a valid BuzzCard will enable key issuance.

Beginning Mon., Jan. 4, 2027 - Building access/physical keys will only be issued to active employees, students, or affiliates in compliance with campus policy. Affiliate sponsors must ensure their affiliates have completed the affiliate process by Jan. 4, 2027. Any physical keys issued to persons without an active affiliate status must be returned to the Lock Shop by Jan. 4, 2027. The Lock Shop will be communicating directly with these individuals to work through that process.

What's changing:

  • For those who have physical keys that have been checked out long-term, those keys need to be returned to the Lock Shop so they can be reissued by Access Control. The Lock Shop will be communicating directly with these individuals to work through that process.
  • All physical key requests must be submitted by an authorized Requestor (e.g., Building Manager, Facility Director, or Project Manager) through a ServiceNow ticket. Requests by email, phone, or walk-in will no longer be accepted beginning Jan. 4.
  • Keys and facility access may only be issued to active Georgia Tech employees, students, or affiliates. Contractors, vendors, temporary workers, and others who are not employees or students must have an active affiliate status through Georgia Tech Human Resources. A GTID or BuzzCard alone does not confirm active status.
  • Anyone who currently holds a physical key but does not have an active employee, student, or affiliate status must complete the appropriate affiliate process by Jan. 4, 2027, or return the key.
  • Physical keys will not be issued where electronic access is available.
    • Exception: Georgia Tech provides reasonable accommodations for enrolled students and active employees in accordance with the Americans with Disabilities Act (ADA), as well as accommodations for religious observance, while maintaining operational efficiency.
  • Beginning Jan. 4, 2027, keys must be picked up in person by the recipient at Swarm Support located at The Pavilion, Georgia Tech campus, 410 4th Street NW, Building #216, Atlanta, Georgia, 30332 with valid identification.
    • Exception: Active Affiliates in need of a physical key for one business day or less may pick it up and return it to the I&O Lock Shop. This exception is intended only for active affiliates performing contractor-type work that requires temporary key access to complete a work order. A ServiceNow ticket is still required.

What You Need to Do Now:

  • Review individuals sponsored by your department who currently have or need physical key access.
  • Begin the HR Affiliate process for contractors or other affiliates who need access, or whose access will expire soon.
  • Become familiar with using the Access Control ServiceNow ticket for all new key requests.
  • Ensure requests include the appropriate approvals and justifications.

Key Policy FAQs (in effect until January 2027)

The first step in ordering a key is to talk to your building manager. The building manager will be the contact to fill any key requests. Building managers may require you to send them an email requesting a key or keys. Each department may have additional rules that you must follow in requesting keys. Each building manager can give you those departmental requirements. The building manager then sends an email request to the Lock Shop requesting key(s) along with the People Soft number and doc ID number for billing the cost of each key.

The Lock Shop personnel will deliver all keys to the requesting building manager (delivery fee applies) or the building manager can pick up the key (no charge). They will then contact the requestor about picking up the key(s). Each department has guidelines about signing out and picking up keys.

Building managers will require you to show your Georgia Tech ID before issuing a key.

All keys should be turned back over to the building manager for that building.

All contractors must have a project manager or building manager come with them or send an email to the Lock Shop approving a specific person and company to check out temporary keys. The Lock Shop has a form for the contractor to fill out and sign making them responsible for returning all keys to the Lock Shop. If the keys are not returned, the company will be charged for the cost of material and labor to re-key all doors affected by the keys that are not returned.
